World Investment Advisors (WIA) is the registered investment advisory arm of World, serving independent financial advisors across retirement plan and wealth management segments. The WIA Marketing Communications team is a growing, strategic function at the intersection of advisor growth, MarTech, and content and this role is a key contributor to building today and for the future.
Position Summary
The Marketing Communications: Programs & MarTech Management is a hybrid strategist and operator who brings structure, systems thinking, and execution excellence to the WIA MarCom team. This role is the connective tissue of the department owning the marketing technology stack, building (in collaboration with VP) and managing the WIA Advisor Marketing Program in support of the VP’s Advisor Enablement Framework (Wealth & Retirement), and driving the operational infrastructure that allows the broader team to execute at scale.Reporting directly to the VP, Marketing Communications, this role works cross-functionally with growth, sales, product, compliance, and technology teams and serves as the department’s primary owner of MarTech platforms, content asset governance, budget tracking, and advisor marketing program design.
This is a build role. WIA is in active growth mode with board-level priority placed on wealth management expansion, and this person will play a critical part in establishing the systems, programs, and infrastructure that scale with it.
Primary Responsibilities
1. Advisor Marketing Program — Wealth Management (Build & Own)- Design and launch a sustainable, advisor-enabled WIA Wealth Marketing Program — one built for scalability from day one, with resources advisors can activate themselves.
- Develop a resource library, templates, and playbooks that empower advisors to market effectively without requiring dedicated one-on-one marketing consultation.
- Establish intake, tracking, and workflow systems for advisor marketing requests (in collaboration with the Marketing Specialist).
- Define program structure, eligibility, and service model; build documentation and training materials to support advisor onboarding into the program.
- Partner with VP and Growth team to align advisor marketing capabilities with firm-level acquisition and retention goals.
2. MarTech Suite Ownership & Platform Management
- Serve as the primary administrator and strategic operator of the WIA MarTech stack, including:
- Seismic: advisor enablement platform and internal intranet; manage content governance, page structure, publishing standards, and user experience
- HubSpot: marketing automation platform; manage workflows, forms, campaign infrastructure, and reporting in partnership with team’s Product Marketer and support provided by Marketing Associate.
- Yext: advisor database powering the “Find an Advisor” map; manage listing accuracy, updates, and data integrity. Support provided by Marketing Associate.
- Asana: department project management system; own and optimize team workflows, intake processes, and task management
- FMG Suite: advisor marketing automation platform; support adoption, campaign deployment, and advisor training in partnership with Marketing Specialist
- Maintain platform governance standards across tools: naming conventions, folder structure, expiration protocols, and user access.
- Identify opportunities to automate, integrate, or streamline marketing operations across platforms.
- Stay current on MarTech capabilities; proactively bring recommendations to the VP for stack expansion or optimization.
3. Content Asset Database & Governance
- Build a comprehensive content asset database — a master tracking system covering all WIA marketing materials across audiences (advisors, prospects, plan sponsors, internal), content type, currency status, and distribution channel.
- Establish taxonomy, tagging standards, and a regular audit cadence to ensure the department always knows what exists, what’s current, and what’s in progress.
- Transition day-to-day database maintenance to the Marketing Specialist once built and documented.
- Partner with the team on Seismic content structure to ensure discoverability and usability of assets across advisor audiences.
4. Budget Program Management
- Support the VP in managing the WIA MarCom department budget — own the tracking layer, including line-item monitoring, recurring vendor charges, invoice coordination, and budget-vs.-actual reporting.
- Maintain a real-time budget tracker; flag variances, forecast upcoming spend, and provide regular reporting to the VP.
- Manage vendor relationships and documentation for platforms and agencies within the MarTech suite.
5. Project & Operations Management
- Own the department’s project management infrastructure: build, maintain, and optimize team workflows, project templates, and intake processes. Available software is MS Planner and/or Asana. Both are in use currently: forms in Asana, projects/task management in Planner.
- Manage cross-functional projects with clarity: defined owners, timelines, milestones, and status visibility.
- Translate VP-level strategy into structured workplans and manage execution against them.
- Support the team’s operational rhythm: team meetings, project status updates, and reporting cadences.
- Develop and maintain process documentation, SOPs, and onboarding guides for repeatable team workflows. Available and in-use tools are OneDrive, Sharepoint, Seismic’s “WorkSpace”, and MS Loop.
6. Cross-Functional Collaboration
- Partner closely with the Product Marketer on campaign workflow management and metrics tracking for department metrics.
- Collaborate with the Marketing Specialist to design scalable advisor request workflows and support FMG Suite adoption and social content operations.
- Work cross-functionally with Growth/Sales, Compliance, Operations, and Technology teams on marketing program execution.
- Support M&A marketing integration efforts using defined checklists and timelines in partnership with the VP.
Position-Specific Skills & Qualifications
- Deep experience with project management tools: MS Planner, Asana, or Wrike
- Hands-on experience with marketing technology platforms, including sales enablement tools (Seismic a strong plus), marketing automation (HubSpot), and advisor marketing platforms (FMG Suite a plus)
- Strong systems thinker with the ability to design scalable processes and infrastructure from scratch
- Demonstrated ability to build programs, documentation, and workflows in ambiguous, high-growth environments
- Experience with advisor marketing, financial services marketing, or wealth management marketing strongly preferred
- Comfort operating in a “build mode” with clarity but not always certainty and not just managing existing systems, but creating them
- Budget tracking experience; comfort with Excel/Google Sheets for financial management and reporting
- Excellent cross-functional communication skills: able to manage up, laterally, and across business lines
Work Experience
- 5+ years of experience in marketing operations, program management, a hybrid marketing consultant / project or program management role
- Background in financial services marketing preferred; experience with employee, affiliate, and independent financial advisors, across RIA, retirement, or wealth management a strong plus
- Demonstrated experience building and managing MarTech platforms and marketing workflows
- Experience supporting or launching advisor marketing programs or client-facing marketing programs
- Prior experience with Seismic, HubSpot, Yext, Asana, Wrike, or similar platforms preferred

Professional Licenses/Certifications
- No licenses required; financial services industry knowledge strongly preferred
- Project Management certification (PMP, CAPM, or equivalent) a plus, but not required
- LinkedIn Learning or equivalent certifications in Program Management a plus but no required
Education
- Bachelor’s degree in Marketing, Business Administration, Communications, or related field required
