Job Summary
The Licensing Assistant supports the Licensing team by maintaining accurate licensing records, assisting with onboarding and compliance activities, and providing day-to-day administrative and operational support. This role ensures licensing data is current, accessible, and aligned with regulatory and internal requirements.

Key Responsibilities

  • Obtain, maintain, and upload individual and entity licenses as requested by carriers to the appropriate RegEd profiles.
  • Track and update renewed licenses, including those for frequently requested producers and DRLPs.
  • Maintain accurate and up-to-date entity license information on the company intranet.
  • Support onboarding by verifying NPN collection, RegEd profile setup, and completion of required BI questionnaires; conduct follow-ups as needed.
  • Send welcome communications to new employees confirming active licenses and authorization to sell, service, and solicit in applicable states.
  • Assist with producer affiliation requests, tracking, and documentation.
  • Provide RegEd support, including password resets and pass/fail report monitoring with appropriate follow-up.
  • Track licensing progress for new hires and support licensing and continuing education (CE) inquiries.
  • Support licensing-related projects, new procedures, and improvements to team processes.
  • Monitor and assist with the Licensing inbox and continue daily email monitoring and distribution following the ServiceNow transition.
  • Track progress for new hires required to be licensed.
  • Assist with CE questions and provide licensing assistance as needed.
  • Run PDB report for new acquisitions at the entity level to ensure we have accurate license information.
  • Run the pass/fail report for RegEd and address accordingly
  • Assist with new projects/procedures outlined
Qualifications
  • Experience in licensing, compliance, insurance operations, or a related administrative role preferred.
  • Familiarity with RegEd or similar licensing systems is a plus.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Effective written and verbal communication skills.
  • Proficiency with standard business applications (Outlook, Excel, intranet tools).
